POSITION OVERVIEW

The Customer Service Specialist will report to the Operations Supervisor at the Green Bay plant. The customer service specialist will support Perimeter Solutions manufacturing sites including Green Bay, WI, Post Falls, ID, 3rd party contract manufacturers i.e.  Magnum Fabrication, and manage sales orders related to vendor supplied by working with procurement. The primary responsibility of this position is to manage customer inquiries including providing customer quotation for foam concentrate based on published price list, informing the sales territory manager of quote requests, receiving purchase orders, entering them in the business enterprise system, providing order acknowledgement, generating sales orders and/or transfer orders to the appropriate manufacturing location or vendor. The customer service representative will be responsible for confirming accuracy of pricing, order quantity, and ensuring all items on the bill of material for systems are included in sales and transfer orders. The customer service representative will work with procurement to ensure timely and accurate execution of sales orders.  This position will also support logistics to we the customer’s delivery expectation. This position will also provide support to internal sales and operations staff. The Customer Service Specialist is to conduct all company business in a professional, safe, and efficient manner in compliance with company policies.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Customer Service Specialist will be the primary contact for customer inquiries for non-engineered foam systems.
  • Inform the sales territory manager of customer inquiries.
  • Provide customer quotes for foam concentrates on the price list.
  • Enter customer purchase orders.
  • Generate purchase order acknowledgements.
  • Generate sales and transfer orders to facilitate requisition of internal or external supplied order items.
  • Support the logistics team to quote freight and arrange for order pick up.
  • Publish monthly report to include details on the number of orders, sales revenue, days from order to fulfillment.
  • Work closely with the Supervisor to ensure all tasks required of the team are completed accurately and efficiently.
  • Maintain constant communication with customers and fellow team members regarding order status.
  • Create Sales Orders, and Invoices in ERP system.
  • Work with purchasing and operations on work orders to fulfill off site orders to ship.
  • Schedule shipments (LTL as needed) FTL work with logistics.
  • Receive and process suppressant and systems orders for the Green Bay Site, Magnum Site.
  • Imports/Export support including working with 3rd party freight forwarders for export orders.
  • Create and process Inter-Company Sales Orders and Invoices
  • Monitor and process invoices on IPP
  • Act as secondary reviewer for invoices
  • Investigate customer complaints and work with Supervisor to develop corrective actions.
  • Facilitate and process sample requests.
  • Obtain quotes and schedule shipments.
  • Process Intra-Company Transfer Orders
  • Support account receivables group for collection of past due invoices
  • Troubleshoot ERP related issues.
  • Create requisitions for materials and services.
  • Maintain shipment records for Perimeter order fulfillment
  • Participate in Plant Safety Programs
  • Participate in Plant Wellness Program
  • Other duties as necessary

 MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

• Minimum 5 years manufacturing environment experience

• Minimum 5 years customer service experience

• This position May require 10% travel.

• This position must be comfortable working in a manufacturing site atmosphere.

• Open to flexibility as this position will at times require working outside of normal working hours and overtime based on business needs, specifically during Fire Season and period end closing (availability after hours and weekends may be required during that time).

• Strong ERP experience and computer skills in Microsoft Word, Excel, etc.

• Candidate must over-communicate with Customers, Management and Co-workers

• Highly organized with ability to manage priorities and coordinate multiple projects simultaneously.

• Must have a positive attitude and a team player with the ability to effectively interact and communicate with all levels of the organization

• Strong analytical and problem-solving skills with the ability to work with minimal supervision.

• Ability to work effectively as an individual and within a team environment

• Strong written, verbal and people skills to communicate with tact and diplomacy.
