Administrative Assistant/Accounts Payable (Seasonal)

Location:  Kamloops, BC Facility

Work Schedule:
The standard hours of work for this position will be Monday to Friday 8am to 4:45pm with a 45 minute allocated lunch break.

Principal Duties and Responsibilities:

  • Verify that transactions comply with financial policies and procedures
  • Review invoices (bills), ensure proper coding (purchase order numbers, goods receipts, taxes etc.) and enter them into ERP system
  • Print invoices (bills) off the shared AP email box daily
  • Prepare 2 payment runs weekly – EFT and Mineral Tree checks in both currencies
  • Monitor vendor accounts to ensure payments are up to date, reconcile statements
  • Resolve invoice (bills) discrepancies
  • Correspond with vendors and respond to inquires
  • Assist in month end closing responsibilities and submit required reports to supervisor
  • Update phone lists and other employee contact information as needed
  • Create vendor files and file invoices weekly
  • Create employee expense report files and file weekly
  • Prepare and place orders for office supplies needs
  • Deal with order drop offs and picks ups
  • Ensures that all visitors receive a safety briefing, signed in and issued PPE if required
  • Field all incoming calls and inquiries
  • Ensure loaders at ATBs are following loader notifications and track exhaustion levels
  • Report loader exhaustion levels to PATC and technical representatives weekly
  • Provide answering service with required documents for on-call duties
  • Review and digitally store documents from loaders at ATBs.

Requirements:

  • Must have general office administration duties and/or education
  • Grade 12 Diploma
  • Knowledge of general accounting procedures
  • Knowledge of relevant computer applications (Excel and Word are a must)
  • Proficient in data entry
  • Organizing and prioritizing
  • Attention to detail and accuracy
  • Communication skills
  • Good problem-solving skills
  • Self-starter and ability to work independently
  • Availability to be on call during Fire Season
  • Must have reliable transportation 

Physical Demands:
Work is performed in an office setting. This job is under frequent pressure from deadlines, need for accuracy, and conflicting demands. There is an on-going need to attend to and decipher sensory inputs that require diligence and attention to interpret effectively. The work performed frequently requires repetitious hand, arm and finger motions, as well as manual finger dexterity. The employee may be required to lift, move and carry up to 50 pounds.
